Reuse grouped pivot fields in Google Sheets without rebuilding them

Keep pivot group definitions when changing layouts or exchanging Excel files, then prepare a flat, documented summary for public sharing.

You can now remove a grouped field from a Google Sheets pivot table’s layout and reuse it later without recreating the grouping. That makes it easier to switch between detailed and summarized views while preparing a dataset for sharing.

The important distinction: preserving a pivot group is not the same as publishing its definition. Keep the editable workbook for analysis; prepare explicit group labels and values for a public table.

What is preserved?

Google’s August 25, 2026 update retains custom groups and grouped date, time, and numeric fields as reusable source fields in the pivot table editor sidebar. Unassigning one from the active layout no longer loses its underlying configuration. Google also says grouped field configurations are preserved when importing and exporting Excel .xlsx files. This is useful for three common tasks:

  • Switching a date-based summary between detailed dates and grouped periods.
  • Temporarily removing numeric bands or manually grouped categories.
  • Exchanging a grouped pivot workbook between Sheets and Excel.

The feature is available to Workspace customers and personal Google accounts. Google scheduled gradual rollouts beginning August 25 for Rapid Release and September 14 for Scheduled Release, each allowing up to 15 days for visibility. There is no admin control. Availability and rollout details

Create a group, remove it, then reuse it

Here is a small sample dataset, not a reported result:

Make sure Date contains actual date values, rather than text that only resembles dates, and Units contains numbers.

  1. Select the source data, including its headers, and choose Insert > Pivot table.
  2. In the editor, add Date under Rows and Units under Values. Set the units summary to SUM.
  3. Right-click a date cell in the pivot result, choose Create pivot date group, and select a monthly grouping.

For this sample, the expected grouped sums are January 30, February 70, and a grand total of 100.

To try another layout, open the pivot’s Edit panel and use Remove on the grouped field in the active layout. Then use Add under Rows or Columns to select the retained grouped field again. Do not choose “Ungroup pivot items” when you only want to remove the field from view. That command is for ungrouping items, not temporarily changing the layout. Check an Excel round trip

Grouped-field preservation is a specific interoperability improvement, not a guarantee that every workbook feature behaves identically. After importing an .xlsx file into Sheets—or exporting it and reopening it in Excel—check:

  • The grouped field remains available, including when it is absent from the layout.
  • Group membership, numeric boundaries, and date periods match the intended definition.
  • Values use the intended aggregation, such as Sum rather than Count.
  • Filters and totals still represent the intended records.

Publish the summary, not hidden workbook logic

For the sample, prepare a separate values-only publication table with explicit year-month labels:

Use year-qualified period labels so future years cannot be mistaken for the same month. If your source spans multiple years, verify that the pivot groups by year and month rather than combining the same month across years. Repeat every group label on every row, and keep subtotals and grand totals outside the detail table so readers do not accidentally count them twice. A CSV does not retain reusable pivot definitions. Microsoft documents CSV as saving cell text and values while losing worksheet objects and other contents. Keep the workbook separately if collaborators need to revise the pivot. CSV format limitations
