Keep Pivot Groups While Switching Your Google Sheets Summary
Keep grouped pivot fields available in Google Sheets, switch layouts without regrouping, and verify totals and Excel transfers before sharing a summary.

You can reuse grouped pivot fields in Google Sheets by removing them from the pivot table’s layout, then adding them back from the pivot editor’s available fields. You do not need to recreate the grouping. Remove the field from the layout; don’t ungroup its items.
In its August 25, 2026 update, Google says custom, date, time and numeric grouped fields remain available as reusable source fields after being unassigned. This lets you switch between a monthly summary and a category breakdown while keeping the grouping definition.
Choose what you want to do with the grouped field; the tool shows the appropriate action.
Choose The Right Pivot Action
Remove The Field, Keep The Group
Use the grouped field’s Remove control in the active layout section. The grouped field remains available in the pivot editor.
Do not choose Ungroup pivot items if you plan to reuse the grouping.
Add The Retained Group Back
For a row grouping, open the pivot editor, click Add under Rows, and select the retained grouped field.
You should not need to define that grouping again.
Ungroup To Undo The Definition
Choose Ungroup pivot items when you want to undo the grouping, rather than temporarily hide the grouped field.
Removing a field from the layout is not the same operation.
Keep An Explicit Source Definition
Use a source column or documented category mapping for a grouping definition needed outside the pivot.
A retained pivot group does not create a new column in the underlying dataset.

Remove And Re-Add A Monthly Group
Consider this sample dataset of public workshop attendance. Store Date as date values, not text, and Attendance as numbers.

On a computer:
- Select the source range, including its headers, and choose Insert > Pivot table.
- In the side panel, add
Dateunder Rows andAttendanceunder Values. Set the attendance summarization to SUM. - Right-click a date cell in the pivot result, choose Create pivot date group, then choose a monthly grouping period.
- For a one-row-per-month summary, keep only the monthly grouped field under Rows. Remove any remaining individual-date breakout from the layout.
Google documents the pivot creation and field controls and the date-grouping menu. For this single-year sample, the monthly totals should be January 100 and February 100. Enable Show totals for the row field to display the grand total of 200.
To switch views and return:
- Click the pivot’s Edit button to open the side panel.
- Click the grouped field’s Remove control in its active Rows section.

The expected results are:

Each view totals 200 when no filters exclude records. These are alternative summaries of the same source data, not rows to combine into one attendance total.
The Remove and Add controls change the layout; the persistence update keeps the grouped field available for reuse. You should not need to define the monthly grouping again.
Retaining A Pivot Group Does Not Create A Source Column
This is reuse within the pivot editor—not a new month column in your underlying dataset. If you need a reusable grouping definition outside the pivot, keep an explicit source column or a documented category mapping.
That distinction matters when preparing a publication table. A retained pivot group helps you rebuild the pivot’s view, but a separate flat summary needs its own clear month or category labels.
Custom, Numeric And Time Groups Are Also Reusable
Google Sheets supports three kinds of grouping controls in addition to the layout controls:

Once created, these grouped fields can be retained for reuse under the new behavior. Ungroup pivot items is a different operation: it undoes the grouping rather than merely taking the grouped field out of the current layout.
Use Remove when you want to stop displaying the group temporarily. Use Ungroup pivot items when you actually want to undo the grouping.
Verify Excel Transfers And Summary Totals Before Sharing
Google’s update also says grouped field configurations are preserved during Excel .xlsx import and export. Previously, imported groupings were dropped from the field list. This is a grouped-field compatibility improvement, not a reason to skip workbook checks.
After a transfer, check that the grouped field is available and that the resulting summary matches the intended grouping. For the sample above, both the monthly and topic views should still total 200 when no filters exclude records.
Keep Years Distinct When The Summary Requires It
The sample contains only one year. For data spanning multiple years, make sure the output distinguishes January 2025 from January 2026 if that distinction matters. A month label alone is not enough to communicate which year a published total represents.
Check Filters And The Source Range Separately
Google’s grouping and filter guidance notes that value-based pivot filters need editing to show newly added values. Review those filters after source updates rather than assuming every new category is included.
Reusing a group also does not resolve an incomplete input range. Follow the source-range check if records are missing. A preserved grouping cannot summarize records outside the pivot’s source range.
Publish A Flat Summary Rather Than The Private Workbook
For public sharing, prepare a separate flat summary with clear columns such as Month and Total attendance, one row per month, and a note identifying the source, period and grouping rule. Keep grand totals separate from the data rows so readers do not accidentally count them twice.
